Using PEXO for exams

We develop, manage and deliver flight crew exams through the online system PEXO.

PEXO Registrars and Invigilators

PEXO enables registrars and invigilators in the aviation industry to manage flight crew examinations online.

Registrars are able to:

  • book exams
  • arrange exam sessions
  • postpone exam sessions.

Invigilators are able to:

  • Provides the candidate with their ‘Place card’
  • issue exam results
  • issue knowledge deficiency reports (KDRs).

Requirements of PEXO Invigilators

PEXO invigilators must:

  • check the photographic identity of each candidate before the exam starts
  • read aloud the mandatory instructions to candidate before every exam session
  • check the candidates' permitted materials
  • provide specific exam material for each exam candidate
  • provide a secure computer for each exam candidate
  • provide a secure examination room for each exam candidate
  • be physically present in the exam room throughout the entire duration.

The invigilator is strictly restricted to the functions of examination administration and supervision. They must not:

  • provide technical advice on the examination
  • interpret examination questions, diagrams or charts
  • provide instructions, advice or hints on how to solve a question.

An invigilator must read mandatory instructions to candidates before starting all PEXO exam sessions.

PEXO system support

Our exam Help Desk is available from 0830 to 1630 Canberra time (Monday to Friday).

Registrars and Invigilators must use the Help Desk mobile telephone number. You can find this number in the PEXO handbook.

We will not reissue passwords over the phone.

Email address

A secure email address that is only accessible by the applicant is mandatory. We send confidential information to the PEXO Registrar and Invigilator's secure email. We will not approve Applicants who don't have a secure email address.

We ask that Registrars and Invigilators check their email accounts regularly for our messages.

Minimum computer requirements

Equipment used for PEXO exams must meet a minimum requirement.

The PEXO system requires the following hardware:

  • processer: Pentium III, 800Mhz
  • memory (RAM): 256MB
  • monitor:
  • CRT: 17 inch at resolution 1024 x 768
  • LCD: 15 inch at resolution 1024 x 768.
  • keyboard: standard
  • mouse: standard.

Note: no other hardware like disc drives are necessary. A printer is required for the Invigilator to print off the ‘Place cards’ and ‘Knowledge Deficiency Reports’.

The PEXO system requires the following software:

  • operating system: Microsoft Windows Vista or later
  • browser: Internet Explorer version 9 or later
  • Adobe Acrobat Reader must be installed and set as the default pdf reader to enable you to print the candidates place card and their KDR reports.

PEXO is not compatible with:

  • Apple computers
  • Firefox, Edge, Chrome or other web browsers.

General browser settings

Browser settings are as follows:

  • deactivate all pop-up blockers
  • ensure you activate JavaScript
  • allow session cookies
  • content filters, or the like, must not interfere with communication.

PEXO secure browser

Exams must be undertaken on a PEXO secure browser. The Flight Licensing Crew (FCL) will provide instructions on how to download the browser.

Only authorised Registrars and Invigilators will have access to the PEXO system. The secure logon process must remain confidential and secure.

Workspace requirements

The desks must have a workspace not less than 1350m by 750mm for each candidate. The candidate must be able to work with a mouse, keyboard and notepads comfortably.

There should be a minimum of 1.5m between the sides of any adjacent monitors.

Internet requirements

The recommended values are valid for standard aviation exams, using:

  • multiple choice questions
  • pictures or annexes.
Number of simultaneous exams Download bandwidth
1 to 10 3MBS or 3,000kbps
11 to 30 6MBS or 6,000kbps
More than 30 Faster than 16MBS or 16,000kbps

These bandwidths should be exclusively available for the examination. if possible, avoid unnecessary traffic caused by others during the online exams.

PEXO operating procedures

As support is only available during Canberra business hours, we have the following resource to assist with troubleshooting common issues.

Ensure that you are familiar with the operating procedures in the PEXO handbook. If you are not familiar with the operating procedures, you can:

  • repeat the AviationWorx eLearning modules
  • book a MYTH exam to reacquaint yourself with PEXO procedures

The MYTH exam is free and results are not recorded.

Exam bookings

Where possible, we advise to book exams on weekdays. This ensures a PEXO administrator is available for support if needed.

If a weekend booking is necessary, follow the booking procedures in the PEXO handbook. You can also review the AviationWorx eLearning modules.

Before making a booking, ensure the candidate satisfies all pre-qualification requirements. such as:

  • an Aviation Reference Number (ARN)
  • all candidate details are correctly entered in the PEXO handbook.

Hardware issues

If you introduce new hardware, you must ensure that you reload the PEXO secure browser (PSB). In some cases, changes to the operating system can also introduce issues with the PSB. The adobe pdf reader must be installed and set as the default in order to print ‘Place cards’ and ‘Knowledge Deficiency Reports’ from PEXO.

Make sure you test any new hardware or system modifications in advance of any weekend exams.

Forgotten or expired passwords

Keep passwords in a secure place and renew every 90 days. To avoid any login issues on a weekend, check your password is working on a weekday.

Restarting an interrupted exam

Connection issues will interrupt the exam. In the event of a lost internet connection or lost power, the exam may need to restart.

If there has been an interruption of the exam, the candidate must not leave the exam room.

Invigilators will need to confirm the new login to verify the correct candidate is restarting their exam.

Interrupted exams must restart on the same day. A candidate cannot restart the same exam on a different date. Exams that are unable to restart will be incomplete with no recorded result. Candidates will need to rebook the exam on a future date.

If you are unable to restart an exam on the same day, you must not press the red "end" button in the examination window. This will submit the exam as if it had completed.

There is no charge for incomplete exams.
