Online recruitment privacy policy notice

The Civil Aviation Safety Authority (CASA) values your privacy. When you apply for a job with us, we use the information you provide to:

  • assess your suitability for employment
  • report on anonymised key metrics (for example, diversity outcomes).

The information we collect and handle is in accordance with the Privacy Act 1988 and the Australian Privacy Principles (APPs).

By submitting a job application or registering your interest in employment you are consenting to the:

  • collection
  • use
  • disclosure of your personal information.

The following explains how we disclose your personal information.

What we collect and the purpose of collection

The types of personal information we may collect for the purpose of managing your application or employment are:

  • employee, referee and emergency contact details
  • applications for employment and supporting documents
  • place and date of birth, to initiate police checks and security clearances (where required)
  • gender data, to inform our success in attracting and developing talent equally, at all levels
  • diversity information for benchmarking our performance regarding building a diverse workforce
  • eligibility evidence should you apply for a role under affirmative measures
  • selection panel reports
  • employment contracts and other records relating to terms and conditions of employment
  • details of financial and other personal interests supplied by employees and their immediate family members. This is for the purpose of managing perceived or potential conflicts of interest
  • proof of Australian citizenship
  • academic qualifications, licencing requirements and/or any other mandatory requirements
  • current salary details including payslip(s) from your current employer
  • if accepting an offer of employment with CASA, we also collect:
    • records relating to salary, employment benefits and leave
    • medical certificates or health related information supplied by an employee or their medical practitioner
    • taxation details including tax file number
    • banking information necessary to pay salary and wages
    • superannuation contributions
    • information about an employee's performance through referee reports.

When we collect your information

We collect information from you directly when you:

  • create a registration profile on the CASA Careers website via the CASA recruitment system
  • submit an application
  • accept an offer of employment with CASA.

How we collect your information

We securely retain your information on the CASA recruitment system. This helps us contact you throughout the selection process. We also retained this information for your future reference.

Information retained on the CASA recruitment system will not influence future applications you may make with CASA. This includes incomplete and submitted applications.

We may collect additional information from you directly at any stage during the selection process. This includes tests of competency you have completed before or during the interview. We may also collect information from third parties such as your referees.

If you are a successful candidate, we will ask you for additional personal information. This may include sensitive information about your criminal and medical history.

This information helps us:

  • conduct any required pre-employment checks
  • facilitate the creation of a new employee record on our corporate and payroll systems
  • manage your employment with CASA including payment of salary.

We retain your personal information in accordance with the CASA Privacy Policy.

We may also collect information from third parties as required by or allowed by law. This can include from law enforcement agencies as part of our criminal history check, or medical test results.

If you do not provide all the information requested during the recruitment process CASA may be unable to process your application or properly consider it.

How your information is used and disclosed

We keep your contact information on the CASA recruitment system. This will make it easier for you to apply for other jobs with CASA and for you to track the progress of your applications online.

If you no longer wish to have a registration profile on the CASA recruitment system, please use our recruitment enquiries form. You can then request for us to delete your CASA recruitment system registration.

The information we collect about you is kept secure and confidential. We only use this information to assess your suitability for the role you are applying for. We also use this information for similar roles if you provided permission in your application.

We may use your information to generate non-identifiable statistical information and reporting to inform our recruitment policies. This may include, but not limited to, information relating to how you found out about a role with CASA and demographics of candidates.

In some cases, we create a merit pool to fill similar roles at CASA within 18 months from the original vacancy closing date. If placed in a merit pool, we may share your details with other areas in CASA looking to fill a similar vacancy.

If your application is successful, we use the information collected about you during the application process and subsequent onboarding to commence your employment.

We also transfer the information to the CASA payroll system and your CASA personnel file. CASA will not disclose your personal information without your consent, or unless required or authorised by law.

Who will use your information

CASA staff who may use your information include:

  • members of the selection panel responsible for assessing your application
  • the delegate. This is the manager who has overall authority to approve recruitment decisions
  • CASA staff involved in the administration of recruitment services, workforce planning and payroll functions

We may also disclose your information to external providers to manage or assist with the recruitment process.

Where we use external systems in the recruitment process, we will load essential contact information into the system. This will allow you to receive information about the assessment task.

A scribe may also help us with the administrative functions relating to a recruitment process. When using a scribe, we may provide the scribe with a copy of your application and CV/resume. This will include contact details of you and your referees.

We may also disclose personal information to external providers in the course of on-boarding successful candidates. This is typically for the purposes of confirming your eligibility (such as criminal background checks or verifying documents). We will contact you or obtain your consent before loading your information into any third-party onboarding system.

These providers and systems meet CASA minimum security requirements. Providers must retain your information in Australia and maintain your confidentiality.

We can only share your personal information with other Australian Government agencies where authorised or required by law.
